I currently use an excel spreadsheet to track my BPO orders but I am looking for something online for order management. Possibly something that could send alerts if I have 2 hours left for an order and it hasn't yet been completed. A place where I could mark orders as paid, pictures taken, etc. Does anyone know of any website I could use to find something like this? Thanks.

Google docs probably wont alert you, but it's free, online, and can easily keep track of everything else.

eBrokerHouse is pretty much the best, although they don't get the press. The guys that run that shop are top notch and they do the customer support themselves, no outsourcing here

i currently use google docs extensively...

and you can set email, pop ups, and text messages alerts.

what this means is if you set an appointment in your calander, you can set alarms, ie email sent to you to remind you, pop up screen at set interval before appointment, or text message directly to your phone. set 1 or all three. pretty sweet.

you have to go into labs and enable sms alerts...

set as many as you want for any apointment in google calander,

i also sync my blackberry to google calander, and can access google docs anywhere...its free!

however i would be interested in a service that can send sms to my assistants for reminders about daily tasks... if anyone has a good suggestion.. google only allows you to send to your own cell phone.

any other crm or management programs and direct experience welcomed smile

I have heard several companies talk about BPO Genius. I believe it is a $99.00 set up fee and $50 per month for up to 5 or 10 users.

I have been searching all over because there has to be something simple that can be used online for much less tha $50. Anymore insight from anyone would be greatly appreciated. This is driving me crazy.

I've been using eBrokerHouse since the first of this year to keep track of my bpos, who's assigned, when they are due, etc. eBrokerHouse also can store information about REO listings and I believe it will send you emails. I think you can even set up a task outline and it will email you when you need to start a task.

So far I have just used the bpo tracking, but it does an oustanding job of that. If you type in an address to add a bpo it will warn you if you have done one before on that address. Several times I have been able to call the bpo provider and tell them they need to reassign the bpo because I have done one on that address in the last 6 months. Also at the end of the month, or whenever, you can run reports about what bpos have been done by each person in your group and how much they earned. I use this to pay anyone working with me on bpos.

Also the CEO, Thomas Moore, called me on a Sunday when I subscribed to the software and we had an interesting chat. He's a good guy and very experienced and knowledgable.

As others have stated Google Docs is FREE and works awesome.

I just want to take a second and praise ebrokerhouse.com. We currently have over 140 HUD listing assignments. We have 17 agents that we divvy these up between. I was trying to use google docs to manage the program and I was spending countless hours managing the timelines for all the tasks necessary to handle these HUD assignments. The follow up with each agent was driving me nuts. I signed up for the free 1 month trial of ebrokerhouse - I find it priceless now! After only 2 days, I bought the 1 year subscription.

I've been able to set up task plans associated with each asset management company and their requirements for each specfic task. When a new assignment comes over, I assign it to an agent and it automatically e-mails them with all of their tasks and when they're due. When they log into their account, instructions and all necessary forms are attached to the task. When they are finished with their task, they mark it complete and it goes off my "radar".

It took some extensive groundwork to get it set up, but I've reduced my time spent supervising deadlines by 10-15 hours a week.

I'm also using it to manage my own properties - as each property enters a different phase (pre-list, listed, pending, closed) it tasks me with certain details as well as my assistant. When a property goes "pending", it reminds me to get it dewinterized for inspections, update the office file, etc... You're also able to generate "ad-hoc" tasks such as ordering bids, getting carpets cleaned, etc. When you handle a large volume of properties, it's the details that will kill you. This program allows me to not miss any of those details.

You're able to store all your documents related to a property as well as all your photos as well - with no limits. I've already found this useful. Previouls when I was at home and there was a document in the file in my office, I'd have to go in to retrieve it. Now, it's attached to the property in this system and I can pull it up anywhere I have internet access.

I find the reimbursement section to be cumbersome and my assistant and I have decided to not use it right now. There's also an offer and lockbox info retrieval system. Agents wanting to show or submit an offer can click a link you put in your MLS to do what they need. Right now, I'm holding off on testing these as well.

You can look back through my prior posts and see I'm not a spammer - I'm just an Executive Broker trying to make a living - and I wouldn't recommend something if I didn't find it useful.

We love ebrokerhouse as well. It's affordable and as you can see by the comments totally adaptable to anyones business, no matter what you are doing.

I find it interesting that someone is using ebrokerhouse for bpo's. I couldn't get it and still use google docs. I will admit that for accounting, google docs is not working. However, if I could get it down for bpo's, would be great.

In the 3 years we have been using this software, we have gone from just a few REO and a whole bunch of Short sales to almost 75 total assets in the course of year with no more staff running it. Thomas Moore is a talented and approachable developer who has been in our shoes, trying to run a team of agents doing bpo's and assets over 2 states! I also consider him to be one of my close personal friends. He always has time for his clients and loves to hear your feedback. He knows an incredible amount of people in this business and is constantly changing his products. You guys are missing out on one of the secrets of this business if you don't try his software and give him a call, just to chat and give him your opinion. He is a wealth of information and contacts. I wouldn't be where I am today without him. Love ya dude!
